How to Set Up a Conference Room

Meetings between the employer and employees play a vital role to run a business effectively. No matter you are running a huge business or a small business you have to arrange meetings. A conference room is a place where top business executives arrange meetings to discuss serious matters and issues. As a general rule, due to the sensitivity of the issues they are discussed in the room, we should make the room more conducive, more private and more convenient to everyone.

Room Layout

It is a well know fact that the arrangement of tables and chairs directly affects learning and audience involvement and participation. This is the core reason why conference room arrangements must be strategically planned. Here's a glimpse of the different arrangement styles:

* U Shape- This type of arrangement is best for small groups that call for conversations between the presenter and audience. Generally, you have to connect six to eight foot tables end to end in order to form a U shape where chairs are placed around the outside of the U.

* V Shape- V shape or chevron arrangement creates a more enclosed type of feel between the presenter and audience. Make three rows of tables with chairs facing the front of the room to form a V shape, with each side separated by a center aisle.

* Classroom Style- If the presenter of meetings or conference want to provide more and more information to the audience, this style is more suitable and ideal. In most educational institutions classroom style is arranged and used with rows of tables with chairs, or with table facing the front of the room.

* Theater Style- More often than not this style suit when the participants need to take minimal notes, thus, there are no tables provided. Theater style is set up by having rows of chairs facing the front of the room and generally divided by a center aisle.

* Conference style- This set up style is ideal for intimate or small brainstorming sessions, providing good visual and communication lines for each participant. There will only be one table in the center of the room with chairs enclosing the perimeter of the table.

* Hollow Square- The arrangement for this style is similar to the set up for the conference room, only that table will form a rectangular outline with open rectangular space in the middle.

Room Equipments and Necessities

Apart from the set up and perhaps aesthetic sense of the conference room, there are a few other factors to consider in order to completely furnish the room, including:

* High speed internet access

* Large screen and projector

* Lighting

* Sound system

* Internet facility

* Lectern

* Podium

* Podium

* Access to facilities for the disabled

Arrangement of Tables and Chairs for Conference Room

Tables and chairs should be chosen in accordance with the set up the style for the room so that it will give a more professional look. Make up your mind that what type of furniture you want in the room. Some people like to go for the modern style whereas, other prefer old fashion style. You should bear in mind that your choice of furniture must conform to the theme of the entire office, or else it will make your company look unprofessional and inappropriate. Moreover, make sure that the furniture will serve the purpose for the meeting rather than adding them aesthetic appeal to the room.

Whatever set up style you choose, make sure you still have enough space for people to move comfortably in and around the conference room. If the set up encourages the presenter to walk around and reach to the audience closer, make sure you provide ample space for him to move. Provide center aisle of side aisle if necessary for the set up style.
